The ECM Project Scope includes the automation of the content management components of business processes for the four departments within the directorate of Planning and Local Marketing.

  • Scope of the Work: The project aims to put in place key components of Enterprise Content Management solution related, related policies, content management, business processes, email and records management at DCEO Planning & Local Marketing Directorate and departments under it e.g. Corporate Planning (CPD), Management Support (MSD), Manufacturing Optimization Group (MOG) and Local Marketing (LMD)
  • The Project will deliver an enterprise content management solution that is comprised of the following:
  1. Business study to capture the policies and procedures for content, process, and records management framework.
  2. Updated and unified version of the business classification scheme, metadata, taxonomy, thesaurus, and records disposition schedule which governs content and records management at KNPC.  The update is based on the outcome of the analysis of the DCEO Departments in scope, namely: CPD, LMD, MSD, and MOG.
  3. Delivery, within the agreed timescales and budget, the implementation of:
    • IBM FileNet P8 Enterprise Content Management solution.  The solution entails the following components:
      • IBM FileNet Content Management with IBM Content Navigator to manage and store KNPC contents and records. The underlying platform will be built using IBM content navigator, the ECM unified user experience platform for end users.  We will be using the Out of the Box features of IBM Content Navigator with minimum customization.
      • IBM Enterprise Records to address, maintain and provide a record of compliance for electronic records. This comprehensive solution streamlines records-based activities and helps enforce compliance with retention policies by capturing, declaring, classifying, store dispose of electronics according to legal and regulatory requirements
      • IBM Case Manager will be implemented to automate 26 content-centric business processes across the departments in scope.
      • IBM Content Collector for E-mail to capture, and store business e-mails
      • IBM Datacap will be implemented to capture documents, turn them into digital images, extract information using built-in (OCR/ICR), fill metadata values, and then store content and metadata into the IBM FileNet P8 repository.
      • OCR (IDRS) Software: will be implemented to support Arabic OCR
      • Electronic Signature: will be implemented to the capture digital signature on electronic documents
      • Integration: IBM Content Management will be integrated with the KNPC enterprise application identified as ERP, Maximo, and HRMS. The integration will be based on web services methods consumed by these lines of business applications in-scope– Automate twenty-six business processes of the four departments under the DCEO Planning & LM Directorate.
  1. Train the IT staff and the core project team on supporting and operating the delivered solution.
  2. Migrate one million pages to the new ECM solution environment as well as upload 2TB of electronic documents.
  3. Provide post-implementation support for a period of ten months after the acceptance of the ECM solution by KNPC.
  4. Mo1111bility: Mobile Application development includes only a management dashboard.
  5. The dashboard is basically a couple of charts of what is new and what is pending.
